The Welcome Text: What to Send Right After a Trash Can Cleaning Sign-Up
Right after someone signs up, they have two quiet worries. Did that actually go through? And when are these people coming? A short welcome text answers both, catches mistakes before the first visit, and makes a small company feel like a real one.
Send It the Same Day
Once you have picked the first cleaning date, as described in Scheduling the First Bin Cleaning Around the Customer's Trash Day, you have everything you need to send the welcome text.
Send it as part of the same routine where you convert the sign-up in Form Responses and schedule the first cleaning. In TrashCanBossPro you text customers from the office with two-way texting, so the welcome goes out from your business number and any reply comes back to the office, attached to that customer.
Same day matters. A sign-up that hears nothing for three days starts to wonder whether they just gave a card to a stranger.
What to Include
A good welcome text covers five things, briefly:
- Thanks and their name. Personal, not "Dear Valued Customer."
- The plan they picked. "Monthly cleaning for 2 trash cans and 1 recycling bin."
- The first cleaning date. A real date, tied to their trash day.
- What they need to do. Usually: leave the cans out after pickup, or tell us where they are.
- How to reach you. "Reply here with any questions."
A Sample Welcome Text
"Hi Sarah, this is Mike from Curbside Can Cleaning. Thanks for signing up! You're set for monthly cleaning of 2 trash and 1 recycling. Your trash day is Tuesday, so your first cleaning is Wednesday the 14th. Just leave the cans at the curb after pickup and we'll handle the rest. We'll text you a reminder the night before. Questions? Reply here."
Adjust it for the customer. A one-time clean does not need the reminder line about every month. A customer whose cans are behind a gate might get "We have your gate code on file, so no need to be home." An HOA resident might get a mention of the neighborhood. Keep a basic version saved somewhere handy and change a few words for each person.
That is short enough to read in fifteen seconds and answers every question a new customer has.
Use It to Catch Mistakes
The welcome text quietly double-checks the sign-up. When you repeat the plan, the cans and the trash day back to the customer, they will tell you if something is wrong:
- "Actually our trash day is Thursday."
- "We have a yard waste bin too."
- "The cans are behind the gate, code is 2207."
Fix those on the address before the first cleaning. They then show correctly on the office lists and on the tech's phone for every visit after. That one text can save a wasted trip.
Keep Segments in Mind
Texts are billed by segment, and long messages or certain special characters can split one text into several. TrashCanBossPro plans include a monthly text allowance of 500, 1,000 or 2,000 segments sent and received on Start, Pro and Crew. A welcome text is worth its segments, but keep it tight. Skip emojis and fancy punctuation, and leave out anything the customer does not need on day one.
Set Expectations for the Texts That Follow
Tell the customer what other messages to expect so they do not mistake them for spam. In TrashCanBossPro the automated reminder ("we clean tomorrow, leave the cans out") goes out before each cleaning. Customers can also choose alerts in the customer app: the night before, when they are next on the route, and when the tech arrives. Mention that in the welcome or a short follow-up so they know where to set their preferences.
A line like "You can watch the crew on a live map and choose your alerts in our customer app" also gets them into the app, where they can see invoices and update their card later.
What Not to Do
- Do not ask for a review yet. They have not seen a cleaning.
- Do not upsell right away. Let the first cleaning sell the next one.
- Do not send three texts in a row. One clear message beats a stream.
- Do not send it at 11pm. Daytime or early evening is fine.
For bigger accounts or anything unusual, a phone call may work better than a text. See Calling New Bin Cleaning Bookings: When a Phone Call Beats a Text.
