Moving Bin Cleaning Techs Off Paper Route Sheets and the Group Text
Most bin cleaning companies start the same way. A spreadsheet of customers. A printed route sheet each morning. A group text for gate codes, changes and “where are you?” It works for one trailer and a few dozen customers. Then it stops working, usually all at once.
Paper Breaks at Two Trailers
The split described in Two Trailers, Two Techs: Splitting the Day in the Bin Cleaning App is usually when paper gives out. One route sheet becomes two. Changes have to reach two people. The group text doubles in volume. Something gets missed.
Even before that, paper has problems that are easy to ignore until they cost you a customer.
What Goes Wrong With Paper
- It is out of date by 9am. A new sign-up, a customer who texts that the cans are in the side yard today, a stop moved to tomorrow. None of it reaches the printed sheet.
- It gets wet. Bin cleaning is a wet job. Route sheets turn to pulp on the dash.
- It does not talk back. The office finds out what happened when the tech drops off the sheet at 5pm, with scribbles in the margin. Skips, notes and problems arrive hours late.
- Invoices start from scratch. Someone types invoices off the scribbles. Mistakes creep in.
- No proof. A checkmark on paper does not settle “nobody came.”
What Goes Wrong With the Group Text
- Important messages get buried. A gate code from three weeks ago is somewhere above two hundred messages about lunch.
- Old information never goes away. The old gate code and the new one are both in there. Which is current?
- Former employees keep everything. Every code and address ever shared stays on their phone.
- Customers end up with personal numbers. A tech who texts a customer directly gets texts back at 10pm forever.
What Replaces Them
The tech app replaces both with one thing: a list of stops on each tech's phone, in route order, with everything they need on each card. The cans, trash day, can location, gate code and notes live on the address and show every time. Changes from the office show up on the phone. Start, Skip and Complete tell the office what happened as it happens. Photos prove the work. Customer texts go out automatically from the system, and replies come back to the office.
Nothing has to be printed, and nothing gets lost in a thread.
A Practical Switch Plan
Do not try to switch everything on a Monday morning. Spread it over a couple of weeks:
- Week one, office side. Import your customer list from the spreadsheet with CSV import. Add cans, trash day and can location to each address. Move gate codes out of the group text and onto the addresses. Set up recurring plans.
- Week one, tech side. Add each tech with their own PIN. Have them log in and install the app to their home screen. Let them look around.
- Week two, run both. Print one last route sheet as a backup, but have techs work from the app: Map, Start, photos, Complete. Compare at the end of the day.
- Week three, drop the paper. Stop printing. Archive the group text and tell the crew that gate codes and route changes now live in the app.
The most important part is moving the information. Every gate code, quirk and can location that lives in a tech's head or a group text has to land on the address. Tips for that are in Writing Stop Notes the Next Bin Cleaning Tech Can Actually Use.
Getting the Crew on Board
Some techs will resist. They know the route, they like their sheet, and they do not see why it should change. Show them what is in it for them: no more calling the office for gate codes, no more customer texts on their personal phone, no more getting blamed for “nobody came” when the photo proves they did. A tech who sees one complaint end with an after photo usually stops resisting.
Pick your most respected tech to go first. If the person everyone else listens to runs a week on the app and says it is easier, the rest of the crew follows. If the owner pushes it alone, it feels like a rule. If a veteran tech vouches for it, it feels like a better way to work.
Paper Out, Phone In
Route sheets and group texts get a small company started. A tech app is what lets it grow without losing track of stops, codes and payments. For everything the tech app does, visit the TrashCanBossPro trash can cleaning app page.
Retire the Route Sheet
TrashCanBossPro puts every stop, gate code and note on the tech's phone, and imports your existing customer list from a CSV.
