Importing an HOA or Property Manager Address List Into Your Bin Cleaning Software
You just won an HOA with 140 homes, or a property manager handed you a portfolio of 60 rentals. Congratulations. Now somebody has to get all those addresses into your system before the first cleaning day. Typing them one at a time is an afternoon of mistakes. A CSV import gets it done in minutes, if you prepare the file well.
Crews Assigned, Now the Addresses
You may already know which trailer will serve the account from Which Trailer Gets the Commercial Stops? Assigning Crews to HOA and Commercial Bin Cleaning. Before any trailer can go, the addresses have to be in the system, under the right client, with enough detail for routing.
Ask for the List
HOA management companies and property managers almost always have their addresses in a spreadsheet. Ask for it in Excel or CSV form. You want, at minimum:
- Street address
- City, state or province, and ZIP or postal code
- Unit, lot or property name, if they use one
Nice to have, if they know it:
- Number of trash, recycling and yard waste cans
- The city trash pickup day
- Gate codes or access notes for specific addresses
Do not wait for a perfect list. A list of addresses is enough to start; you can fill in the rest.
Clean Up the Spreadsheet
Before importing, spend fifteen minutes on the file:
- One address per row, with street, city, state and ZIP in separate columns
- Remove rows that are not addresses: totals, notes, blank lines
- Remove duplicates; managers' lists often have the same rental twice
- Spell out or standardize street suffixes so addresses are consistent
- Remove owner or tenant personal details you do not need
That last one matters. You need the address, not the tenant's phone number or the homeowner's account balance with the HOA.
Import Under the One Client
Create the client first: the HOA or the management company, with the billing contact, tagged HOA or Commercial, and set to Monthly billing if that is the deal. Then import the address list as a CSV and make sure every address ends up under that client, not as a separate customer. That structure is what makes one monthly statement possible later; see One Account, Many Addresses: Setting Up Commercial Bin Cleaning Clients the Right Way.
Fill In Cans and Trash Days
If the list did not include can counts and trash days, fill them in after the import. For an HOA, this is usually quick: most homes have the same two or three cans and the same trash day. For a property manager, it takes a bit longer because rentals are scattered and their trash days differ. Look up the city schedule for each area if the manager does not know.
These details matter. Can counts drive what the crew cleans and, if you price per can, what the statement says. The trash day drives which route each address goes on. They show under the address on the lists and on the crew's phone.
Check the Map
After the import, open the Waiting List map. Every address should appear where you expect. Pins that land in the wrong town or in a field usually mean a typo in the street or ZIP. Fix them now, before a crew drives to the wrong place.
Once the addresses have their services and plans set, they come due on the Waiting List on their own and you can route them by trash day.
Add Access Notes Before Day One
A list import rarely includes gate codes, lockbox locations or can location notes. Ask the manager for the addresses that have them and add the notes before the first cleaning. Otherwise your first visit becomes a day of skips and phone calls.
For an HOA, the common areas are often missing from the list entirely, since the management company thinks of them as amenities, not addresses. Add the clubhouse, pool and front entry cans by hand, each with its own notes, so they show on the route and on the statement.
Imports for Growth
The same method works when an account grows by a lot at once, like a new HOA phase or a manager taking over a building of townhomes. Import the new addresses under the existing client and they join the next statement.
Next Steps
Ask for the list, clean it, import it under one client, fill in cans and trash days and check the map. For the rest of the commercial toolkit, visit the HOA and commercial bin cleaning software page.
