Which Trailer Gets the Commercial Stops? Assigning Crews to HOA and Commercial Bin Cleaning

With one trailer, there is no question: it does everything. Once you have two or three, how you split the work matters. Should one trailer handle all the commercial stops? Should the same crew always serve the same HOA? Where do the greasy restaurant pads go? The answers depend on your accounts, but a few patterns work for most companies.

Get Paid, Then Get Organized

Collections, covered in Past-Due HOA and Commercial Bin Cleaning Accounts: Following Up Without Losing the Contract, keep commercial work profitable. Crew assignments keep it consistent. Both matter at renewal.

How Assignments Work

In TrashCanBossPro, employees log into the tech app with your company login and their own PIN, and each employee can be assigned to a trailer or truck. The dispatch board shows jobs by day and can be filtered by trailer, so you can see exactly what each crew has. When you assign due cleanings from the Waiting List to a trailer and a day, they appear on that crew's phone in route order.

Option 1: A Commercial Trailer

Some companies dedicate one trailer to commercial work: restaurant pads, apartment corrals, retail enclosures. That trailer carries the degreaser, the extra hose and the surface cleaner for pads. Its crew gets good at early starts, check-ins at leasing offices and working around delivery trucks.

This works well when you have enough commercial stops to fill a trailer most days, and when pad work needs equipment the residential trailers do not carry.

Option 2: HOAs With Their Own Day

An HOA that pays for every home is usually a full day for one trailer on the day after trash pickup. Rather than a dedicated commercial trailer, many companies give the HOA its own day on whichever trailer covers that part of town. The crew works the neighborhood in auto-routed order, Closest First or Furthest First from the shop, and picks up the HOA's common-area cans the same day. See Building HOA Bin Cleaning Routes Around the Neighborhood's Trash Day for more.

Option 3: Mixed Routes by Area

If your commercial work is light, mixing it into residential routes by area is often best. A property manager's scattered rentals ride along with the residential route that already passes them. A single restaurant goes at the top of the route in its part of town. This keeps drive time low and does not require a dedicated trailer.

The trick is time windows. Stops with early windows go first, set by hand on the dispatch board, and auto-route fills in the rest.

Keep the Same Crew on Big Accounts

Whatever structure you choose, try to send the same crew to the same big account. A crew that has done the Oak Hollow HOA ten times knows which streets have cans in side yards, which pool gate sticks and where the lockbox is. Managers and site contacts get to know them too.

That said, never let an account depend on one person's memory. Everything the regular crew knows should be in the address notes, so a fill-in crew can do the job on the day the regular one is out.

Crew GPS on the Office Map

Crew GPS from the tech app shows on the office map during the workday. For commercial work, that helps in two ways. When a restaurant texts asking where the crew is, the office can see. And when a skip needs a return visit, the office can see which trailer is closest and ask that crew to swing back.

Time Clock and Accountability

Crews clock in and out in the same tech app, and every job, photo and skip is tied to the employee who logged in with their PIN. When a manager asks who was at a property on a certain day, you can answer. That matters more on commercial accounts, where sites are often locked and access is a matter of trust.

Rebalance as You Grow

The right split changes as accounts come and go. Every few months, filter the dispatch board by trailer and look at a typical week. Is one trailer always late because it has all the early commercial windows? Is another half empty on HOA days? Move accounts between trailers until the days even out.

You are never billed per user, so adding a crew member or a fill-in to the tech app does not add to your software bill.
