Serving an HOA Bin Cleaning Account Once You Have It: Routes, Residents and the Board

Signing the HOA is the fun part. Serving it is where you keep it. A neighborhood account means dozens or hundreds of homes, residents who never signed anything, and a board that hears every complaint. The companies that keep these contracts are the ones that make every month look the same.

From Signed to Scheduled

The sale is covered in Winning HOA Bin Cleaning Contracts: What a Board Wants to See Before It Signs. Once the estimate is approved online, it becomes scheduled services. Now you need every home in the system.

Set the HOA up as one client and put every home under it as an address. Ask the management company for the address list as a spreadsheet and import it as a CSV rather than typing a hundred addresses. Then fill in the details that make the crew's day work:

Tag the client HOA. Set it to Monthly billing so the board gets one statement.

Route Around Trash Day

Cans should be cleaned right after the city empties them. Clean a full can and you are washing trash. Clean the day after pickup and the can is empty and still at the curb.

Every address carries its trash day, so the dispatch board shows you which homes to put on which day. In most neighborhoods that means one big day after pickup. On the board, filter to the trailer you are sending, auto-route Closest First or Furthest First from the shop, and let the crew work the streets in order. For more on this, see Building HOA Bin Cleaning Routes Around the Neighborhood's Trash Day.

Recurring cleanings come due on the Waiting List by themselves. A monthly plan at 28 days between visits appears as due when it is time, and turns overdue if it slips past the grace window. A big neighborhood turning red on the map is hard to miss.

Keep Residents in the Loop

The board pays, but residents are the ones who notice. If cans go back into the garage before you arrive, you cannot clean them. The account's contacts get automatic reminders the day before ("we clean tomorrow, leave the cans out") and on-the-way and arrived alerts by text and email, so the manager always knows when you are coming.

Residents usually hear about it through the HOA. Ask the board how they want that handled. Some send a notice in the newsletter or an email blast before each cleaning day. Others post it at the mail kiosk. Respect what they choose, and write it down in a custom field so the next office person knows who sends the notice and when.

Handle Skips the Same Day

Some cans will not be out. A home is vacant, a gate is closed, a resident forgot. The crew taps Skip in the tech app and writes why: "cans not out," "gate locked," "no cans at address." The skip lands in the office with the reason.

Decide your policy with the board up front. Do you come back for skipped homes? Do skipped homes still bill? Many companies bill the HOA per home on the account regardless, because the trailer came and the reminder went out. Others credit skips. Either works if the board agreed to it before the first statement.

Whatever the policy, the skip list is useful. If the same homes skip every month, tell the manager. Maybe those homes need a can location note, or maybe the resident needs a nudge from the HOA.

Photos on Every Home

Before and after photos are what keep board meetings short. When a resident says their cans were never cleaned, the manager asks you, and you pull up that address on that date with the photos. Train every crew to take them on every home, not just the ones that look bad. The day you skip photos is the day someone asks.

Report to the Board

Boards meet monthly or quarterly. Give the manager something simple to bring: the statement showing every address cleaned, a count of skips with reasons, and a few photo pairs. You do not need a fancy deck. You need to make the manager look organized in front of the board.

Two-way texting from the office makes the day-to-day easy. The manager texts that a new home closed or that the pool gate code changed. You reply, update the address, and the crew sees the change on their phone the next time out.

Make It Boring

The best HOA account is the one the board never talks about. Same day every month, same photos, same clean statement. For the full set of tools behind HOA service, see the HOA and commercial bin cleaning software page.
