Answering a Bin Cleaning Complaint With What the Tech App Recorded
No matter how good your crew is, complaints come in. The can still smells. The recycling was not done. The cans were left in the driveway. Nobody came. How you answer decides whether that customer stays for years or cancels this week. The tech app gives you the facts to answer well.
Good Notes Make Good Answers
The notes in Writing Stop Notes the Next Bin Cleaning Tech Can Actually Use prevent a lot of complaints. When one gets through anyway, the stop record is what lets you answer it.
Every stop keeps what happened: when it was started and completed or skipped, who did it, the before-and-after photos, the tech's notes, and the invoice. Customer texts and replies live in two-way texting. That is everything you need for most complaints.
Step One: Pull Up the Stop
Before answering, look. Find the address, find the most recent stop, and check:
- Was it completed or skipped?
- When?
- What do the before and after photos show?
- Did the tech leave a note?
- Which cans are on the plan for this address?
Two minutes of looking turns a vague complaint into a specific situation. It also keeps you from apologizing for something that did not happen, or defending something that did.
Step Two: Match the Complaint to the Record
Most complaints fall into a few types, and the record answers each one differently:
- “Nobody came.” If the stop shows completed with an after photo, share the photo and the time. If it shows a skip, explain why using the note and photo. If there is no stop at all, it was missed.
- “You didn't do the recycling.” Check the can count on the address. If recycling is on the plan and the photo shows only the trash cans, it was missed. If recycling is not on the plan, this is a chance to offer adding it.
- “It still smells.” Look at the after photo. Was the lid open to dry? Was the can visibly clean? Ask when they noticed the smell. Fresh trash on a clean can smells within a day in summer heat.
- “You left the cans in the driveway.” The after photo shows where the cans were left. Compare it to the can location note.
Step Three: Answer With Facts, Not Defense
When the record shows the work was done, share it plainly and kindly. “Thanks for letting us know. Our tech cleaned your two trash cans and recycling on Tuesday at 1:42. Here's the photo. If something still doesn't look right, we're happy to take a look.”
That answer gives the customer the facts without telling them they are wrong. Most customers respond with thanks. Some mention that a family member put fresh trash in right after, which explains everything.
Sending the reply by text keeps it in two-way texting history, so anyone in the office can see what was said if the customer writes back.
Step Four: When You Were Wrong, Own It
Sometimes the record shows a real miss. The recycling can is on the plan and not in the photo. The stop was never done because a trailer broke down. The tech left the cans in the driveway.
Own it quickly. “You're right, we missed your recycling can on Tuesday. We'll be back Thursday to clean it at no charge.” Put the re-clean on the dispatch board for a trailer that will be nearby. Then look at why it happened. If one tech keeps missing recycling cans, that is a training issue the photos will show.
Step Five: Fix the Cause
Every complaint is information. After answering it, ask what would have prevented it:
- A missing or wrong note on the address? Update it.
- A can count that does not match reality? Fix it.
- A customer who did not know cleaning day? Suggest they turn on night-before alerts in the customer app.
- A tech habit? Coach it with the photos.
A complaint that leads to a fix is one you will not get again. The broader approach is in Cutting Callbacks: How the Tech App Stops 'You Never Cleaned My Cans' Calls.
Why the Record Matters So Much
Without a record, every complaint is your word against theirs. The customer is sure nobody came, the tech is sure they did, and the office is stuck in the middle. Most of the time, the office gives a free re-clean just to end it, and the customer still half-believes they were cheated.
With a record, the office can settle it in a minute, whichever way the facts point. That protects your techs, keeps honest customers happy and stops free re-cleans from eating into your margins.
Facts First, Then Fix
Pull up the stop, match it to the complaint, answer with facts, own real misses and fix the cause. The tech app records what you need at every stop. For everything else it does, go back to the TrashCanBossPro trash can cleaning app page.
