Moving Your Recurring Trash Can Cleaning Customers Off a Spreadsheet
Almost every bin cleaning company starts with a spreadsheet. One row per customer, a column for the plan, a column for the last cleaning date, maybe a color for who paid. It works until it does not. Somewhere between fifty and a hundred subscribers, someone gets missed, someone gets billed twice, and the owner spends Sunday night fixing rows instead of resting.
Why the Spreadsheet Stops Working
Online sign-ups, covered in Online Sign-Ups for Trash Can Cleaning Subscriptions: Card Captured Up Front, bring new customers in cleanly. But most owners already have a list of existing subscribers that needs to move too.
A spreadsheet has no idea when a customer is due. It only knows what someone typed. It does not send reminders, charge cards or show the tech where the cans are. Every one of those jobs falls on a person, and people forget.
Step 1: Clean the List First
Before importing anything, spend an hour cleaning the spreadsheet. It is much easier to fix problems in one place before the move than in two places after.
- Remove duplicates. The same customer entered twice will become two clients.
- Split names and addresses into consistent columns.
- Check phone numbers and emails. Reminders only work if these are right.
- Separate active and cancelled customers. Decide whether to bring cancelled ones in for future win-backs.
- Note each customer's plan, cans and trash day, even if you add some of it after import.
For customers with more than one address, like a landlord with several rentals, group those rows so they end up as one client with several addresses.
Step 2: Import by CSV
Save the cleaned spreadsheet as a CSV file and import it into TrashCanBossPro. The import brings in your customers and their addresses so you do not have to retype them.
Start with a small test batch, maybe ten customers, and check that everything landed where you expected. Then import the rest. A careful import of two hundred customers beats a fast one you have to undo.
Step 3: Set Plans, Cans and Trash Days
Once customers are in, make sure each address has what the system needs to run the plan:
- The recurring service with minimum days between visits: 7, 14 or 28.
- Can counts for trash, recycling and yard waste.
- The city trash pickup day.
- Can location notes and gate codes.
- Tags like Monthly, Every-Other-Week, HOA or Commercial.
Imported addresses may need to be placed on the map before they show up correctly on the Waiting List. Check the map after import and fix any address that landed in the wrong spot.
Step 4: Get Cards on File
Cards usually cannot come over from a spreadsheet, and they should not live in one anyway. Ask existing customers to add their card in the customer app. A short, friendly text works: “We've moved to a new system to send reminders and bill automatically. Please add your card here so your cleanings keep running.”
Give customers a deadline before the first automated charge. In the meantime, invoices can still be sent and paid online.
Step 5: Switch Over on a Clean Week
Pick a week to switch, ideally a slower one. Use the spreadsheet's last-cleaned dates to decide who is due first, and schedule those cleanings from the Waiting List. After each customer's first completed cleaning in the new system, their plan comes due on its own from then on.
Keep the old spreadsheet as a read-only backup for a month or two. Do not keep updating it. Two sources of truth is worse than one.
Step 6: Show the Crew
Your techs need to know what changed. Give each one a personal PIN, show them the tech app and walk through a few stops together. Once they see the cans, trash day and notes on every job card, most of them will not miss the printed list. For more on how the plan comes due after switching, see How Recurring Trash Can Cleanings Come Due on Their Own on the Waiting List.
Tell Customers About the Change
Customers notice when things change, so tell them first. A short text explaining that they will now get a reminder before each cleaning, can see the route on cleaning day and can manage their card in the customer app turns a switch into a selling point. Most will be glad to hear it.
