Choosing HOA and Commercial Bin Cleaning Software: What to Check Before You Switch
Spreadsheets and paper can carry a residential bin cleaning business for a while. Generic field-service software can carry it a bit further. Then you sign an HOA, or a property manager hands you forty rentals, and the cracks show: forty invoices instead of one, gate codes in a group text, no way to prove which homes were cleaned. If that is where you are, here is what to check before you switch.
Start From How You Actually Work
If you run both kinds of work, as described in Mixing Residential and Commercial Bin Cleaning on the Same Routes, you need software that handles both in one place. Avoid any setup that puts commercial accounts in one tool and residential subscriptions in another. Two systems means two Waiting Lists, two route plans and twice the chance of a missed stop.
1. One Client, Many Addresses
This is the deal-breaker. Can one client hold many addresses, each with its own details and its own service? If the software only allows one address per customer, every HOA and property manager will become dozens of customers, and nothing after that will work cleanly. See One Account, Many Addresses: Setting Up Commercial Bin Cleaning Clients the Right Way for why this matters so much.
2. Cans and Trash Day on Every Address
Generic field-service software thinks in jobs, not cans. Check whether each address can hold the number of trash, recycling and yard waste cans and the city trash pickup day, and whether the crew sees that on their phone. Without it, your crew is guessing and your routes are not built around trash day.
3. Access Notes on the Crew's Phone
Gate codes, lockboxes, site contacts and time windows need to live on each address and show on the crew's job card. Ask to see the tech app. If the notes are buried three taps deep, they will not get read at 6:45am in a parking lot.
4. Photos Saved With the Job
Before and after photos are how you prove service to boards and managers. Check that the crew can take them in the app as part of the stop, and that the office can pull them up later by address and date.
5. One Monthly Statement for Every Address
Can you set an account to bill monthly, with one statement covering every address, each line labeled with the address? This is what treasurers and property managers want, and not every system does it. Also check that you can choose card on file or pay-by-check terms per account.
6. Quotes With Online Approval
Commercial work sells through quotes. Check whether estimates are built from your service list, whether the customer can approve online, and whether the approved estimate becomes scheduled services without retyping.
7. Recurring Plans and Routing
Check that weekly, every-other-week and monthly cleanings come due on their own, that you can see what is due on a map, and that you can route by trailer with auto-routing and a hand-set order for time windows. Commercial stops have to fit into real routes, not a separate calendar.
8. Texting With Managers
Managers text. Look for two-way texting from the office, so replies are not stuck on one person's phone, plus automatic reminders and on-the-way and arrived alerts customers can choose.
9. Tags, Custom Fields and Reports
HOA and Commercial tags, your own custom fields for renewal months and payment terms, and reports to see what each account is worth. These keep thirty accounts manageable.
10. Pricing That Does Not Punish Growth
Watch out for software that charges per user. Commercial work means more crew members and more office help, and per-seat pricing grows with every hire. TrashCanBossPro plans are Start $59, Pro $89 and Crew $199 per month, never billed per user, and the plans include a monthly text allowance of 500, 1,000 or 2,000 segments sent and received.
Try It on a Real Account
The best test is your own data. During a free trial, set up one real commercial account: the client, a handful of addresses with cans and trash days, access notes, a recurring plan and Monthly billing. Run a cleaning through the tech app with photos. If the statement at the end looks like something you would send a board treasurer, you have found your software.
TrashCanBossPro offers a 14-day free trial with no credit card. For the full list of commercial features, see the HOA and commercial bin cleaning software page.
