Form Responses: Where Every Bin Cleaning Sign-Up and Quote Request Lands
New business has a way of arriving everywhere at once. A sign-up on the website, a request from an HOA board member, a Facebook message, a text to the number on the trailer, a voicemail. When every one of those lives in a different inbox, some of them get missed. Form Responses gives the website side of that a single home.
What Form Responses Is
Trash day and the other sign-up questions were covered in Asking for Trash Day at Sign-Up: The Question That Sets the Whole Trash Can Cleaning Schedule. Form Responses is where those answers show up.
In TrashCanBossPro, both the website sign-up form and the website request form send their results to Form Responses in the office. Each response shows what the customer typed: name, contact details, address, cans, trash day, plan, notes, and for sign-ups, the fact that a card was captured. It is the inbox for new customers.
Because both forms land in the same list, nobody has to check two places. A sign-up and a quote request sit side by side, and each gets handled in its own way.
Sign-Ups vs. Requests
The two kinds of responses need different next steps.
A sign-up is a customer who has picked a plan and left a card. The next step is to convert it into a client with one click and schedule the first cleaning. Details on that are in One-Click Convert: Turning a Bin Cleaning Sign-Up Into a Client.
A request is someone who wants to talk or get a price first. The next step is a reply and usually an estimate from your service list, which the customer approves online.
Keeping that distinction clear in your head makes the list fast to work. Sign-ups get converted. Requests get answered.
A Simple Morning Routine
Form Responses works best when someone looks at it at the same time every day. A routine that works for a small bin cleaning company:
- Open Form Responses first thing. Before the trailers roll out, see what came in overnight.
- Convert the sign-ups. One click each. Check that the trash day and can counts look right.
- Schedule first cleanings. Put each new client on the route that runs the day after their trash day.
- Send welcome texts. Confirm the plan and the first cleaning date.
- Reply to requests. A quick text or call today, and an estimate today or tomorrow.
Fifteen minutes in the morning is usually enough, and it means no sign-up waits more than a day for a cleaning date.
Spotting Problems Early
Reading every response before converting it catches the small issues that would otherwise turn into a skipped stop.
- Duplicate sign-ups. Someone filled out the form twice, or a spouse signed up too. Convert one and set the other aside.
- An existing customer. A current client signed up for a second address or a different plan. Add the address to the client you already have instead of creating a new one.
- Missing gate code. The notes say the cans are behind a gate but no code was given. Text for it before the first cleaning.
- Out-of-area addresses. Decide whether to decline, hold or take them.
- Trash day that does not match the street. Confirm it before you route the first cleaning.
What About Calls and Texts?
Not every new customer will use the website. Some will call, and some will text the number on the trailer. The easiest way to keep everything in one place is to send them the sign-up link: "Here is our sign-up form, it takes two minutes and you can pick your plan there." Their response lands in Form Responses like everyone else's.
If they would rather not, you can add the client by hand. The point is that the website forms should be the default path, so most new customers end up in one list.
Who Should Own It
In a one-person company, that is the owner. In a company with an office person, it is theirs. What matters is that one specific person checks it every day. A shared inbox that "everyone" watches tends to be one that nobody watches. With office user roles, that person gets their own login instead of borrowing the owner's, and you are never billed per user for adding them.
